Welcome to QuickBill. These Terms and Conditions ("Terms") govern your access to and use of the QuickBill mobile application, website, and related services (collectively, the "Service") operated by QuickBill Technologies ("QuickBill," "we," "us," or "our"). Please read these Terms carefully before using the Service.
1. Acceptance of Terms
By creating an account, accessing, or using QuickBill, you agree to be bound by these Terms and our Privacy Policy. If you do not agree to these Terms, you may not use the Service. We reserve the right to modify these Terms at any time. Continued use of the Service after changes are posted constitutes your acceptance of the revised Terms.
2. Description of Service
QuickBill is a business management platform designed for African businesses. The Service provides the following features:
- Invoicing: Create, customize, and send professional invoices with automatic tax calculations, payment tracking, and PDF exports.
- Payment Links: Generate shareable payment links that allow your customers to pay you directly via card, bank transfer, or mobile money.
- Bill Payments: Purchase airtime, data bundles, electricity tokens, and cable TV subscriptions directly from your dashboard.
- Virtual Accounts: Receive dedicated virtual bank account numbers for collecting payments from customers.
- Expense Tracking: Record, categorize, and analyze your business expenses with detailed reports and insights.
- Inventory Management: Track products, monitor stock levels, set low-stock alerts, and manage inventory movements.
3. Account Registration
To use QuickBill, you must create an account and provide accurate, complete, and current information. You agree to the following:
- You must be at least 18 years of age and have the legal authority to enter into these Terms.
- Your business must be a registered Nigerian business or sole proprietorship operating within Nigeria.
- You must provide accurate business information, including your business name, address, and registration details.
- Know Your Customer (KYC) verification is required for financial features, including virtual accounts, payment processing, and withdrawals. This may include submitting your BVN, CAC registration documents, valid government-issued ID, and proof of address.
- You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account.
- You must notify us immediately of any unauthorized use of your account.
4. Fees and Payments
QuickBill offers the following subscription plans:
- Free Plan: Access to basic invoicing, payment links, receipts, and bill payments at no monthly cost.
- Business Plan: Full access to all features including advanced invoicing, recurring invoices, customer management, expense tracking, inventory management, staff accounts, and automated reminders at NGN 5,000 per month.
In addition to subscription fees, the following charges may apply:
- Transaction Fees: Payment processing fees are charged by our payment partners (Flutterwave and Paystack) on each transaction. These fees are displayed transparently before each transaction.
- Bill Payment Fees: A small service fee may apply to airtime, data, electricity, and cable TV purchases. Fees are displayed at checkout before you confirm the transaction.
Subscription fees are billed monthly and are non-refundable except as required by law. We reserve the right to change our pricing with 30 days' prior notice.
5. Acceptable Use
You agree to use QuickBill only for lawful business purposes. You may not use the Service to:
- Engage in fraud, identity theft, or any form of financial crime.
- Facilitate money laundering, terrorist financing, or other illegal financial activities.
- Send fraudulent invoices or create deceptive payment links.
- Conduct any illegal activities or violate any applicable Nigerian laws or regulations.
- Attempt to gain unauthorized access to other users' accounts, our servers, or our infrastructure.
- Distribute malware, viruses, or other harmful software through the platform.
- Misrepresent your identity, business, or affiliation with any person or organization.
We reserve the right to suspend or terminate your account immediately if we have reasonable grounds to believe you are violating these acceptable use terms.
6. Intellectual Property
All rights, title, and interest in the QuickBill platform, including its design, code, branding, logos, documentation, and proprietary technology, are and remain the exclusive property of QuickBill Technologies. You may not copy, modify, distribute, sell, or lease any part of the Service without our prior written consent.
You retain full ownership of your business data, including invoices, customer information, financial records, and any content you upload to the platform. We do not claim any intellectual property rights over your business data. You grant us a limited license to use your data solely for the purpose of providing and improving the Service.
7. Virtual Accounts
QuickBill provides virtual bank account numbers powered by Flutterwave to enable you to receive payments from customers. By using this feature, you agree to the following:
- You must complete BVN verification before a virtual account can be created for your business.
- Funds received into your virtual account are automatically credited to your QuickBill wallet balance.
- Virtual account numbers are unique to your business and must not be shared for purposes other than receiving legitimate business payments.
- QuickBill is not liable for delays in bank transfers caused by banking infrastructure, network issues, or third-party payment processing systems.
- We reserve the right to disable your virtual account if we detect suspicious activity or violations of these Terms.
8. Bill Payments
QuickBill enables you to pay for utility bills, airtime, data, and cable TV subscriptions through third-party aggregators. By using the bill payment feature, you acknowledge and agree that:
- Bill payments are processed via third-party service providers and are subject to their availability and terms.
- Once a bill payment has been successfully processed, it is non-refundable. Please verify all payment details (account number, meter number, decoder number, phone number) before confirming.
- QuickBill is not responsible for service interruptions, incorrect token deliveries, or failures caused by the utility provider or aggregator.
- In the event of a failed transaction where your account has been debited, we will investigate and process a reversal within 24 to 72 hours.
9. Withdrawals
You may withdraw funds from your QuickBill wallet to your registered bank account, subject to the following conditions:
- Admin approval is required for all withdrawal requests to ensure compliance and security.
- Your business must have completed full KYC verification, including BVN, CAC documents, and bank account validation.
- The bank account used for withdrawals must match the business name registered on your QuickBill account.
- Withdrawal processing times may vary depending on banking hours, transaction volume, and verification requirements.
- We reserve the right to hold or delay withdrawals if we detect suspicious activity or if additional verification is required.
10. Limitation of Liability
To the maximum extent permitted by applicable law, QuickBill Technologies shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, business opportunities, or goodwill, arising out of or in connection with your use of the Service.
Our total liability for any claim arising under these Terms shall not exceed the amount you paid to QuickBill in subscription fees during the twelve (12) months immediately preceding the event giving rise to the claim.
QuickBill is provided on an "as is" and "as available" basis. We do not warrant that the Service will be uninterrupted, error-free, or free of viruses or other harmful components. We make no guarantees regarding the accuracy or completeness of any data processed through the platform.
11. Termination
Either party may terminate this agreement at any time:
- By You: You may close your account at any time through the app settings or by contacting our support team. Upon termination, your access to the Service will cease.
- By QuickBill: We may suspend or terminate your account if you violate these Terms, engage in fraudulent activity, or if required by law. We will provide reasonable notice where possible.
Upon termination, your business data will remain available for export for thirty (30) days. After this period, your data will be permanently deleted, except for financial records that must be retained under Nigerian law. Any outstanding subscription fees remain payable upon termination.
12. Governing Law
These Terms shall be governed by and construed in accordance with the laws of the Federal Republic of Nigeria. Any disputes arising under or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts located in Lagos, Nigeria.
Before initiating any legal proceedings, both parties agree to attempt to resolve disputes through good-faith negotiation for a period of at least thirty (30) days following written notice of the dispute.
